Admissions Process

Q: I think I have two different Program Managers. Who is my main contact at The College of Global Studies?

Because you are going to two different locations, you have been working with two different Program Managers who can give you details information about that particular program and location. If you have general questions, though, you should reach out whoever your Program Manager is for your first summer session - they’ll be acting as your primary contact here at The College of Global Studies. When in doubt, though, just reach out - we’ll make sure your questions get answered.

Q: I have two different applications in Arcadia Passport, and they are asking for a lot of the same Admissions and Participation Forms. Do I have to do everything twice?

No! There are a few items that are specific to the individual program location - these include the Housing Form, Preliminary Course Form and Study Abroad Approval Form (completed by your study abroad advisor) - so these forms will need to be completed for both of your summer programs.

Other forms are generic and can be used for both programs - these include your Transcript, Passport Photocopy and Information Form, Student Photo and Personal Health Form. If you submit these items to one of your two applications in Passport, we’ll make sure it gets marked off in the other application, too. It might take a few days for these updates to be reflected but you don’t need to worry about submitting these items twice.

Q: How will I find out if I am accepted to both sessions?

Once we receive the required Admissions Forms for both of your program locations, your primary Program Manager will review your materials and, if everything is in order, they’ll accept you to both sessions at the same time. They’ll let you know via email and give you a call to share the good news.


Confirming Your Spot

Q: Now that I’m accepted, I see an Intent to Enroll Form on my Arcadia Passport. Do I have to send in one or two of these?

Once you are ready to make a commitment to your chosen sessions, you will need to send in your signed Intent to Enroll Agreement. You should only send us one of these forms, and it should include the details for both of your session choices. Where we ask for your Program on this form (at the top of Page 1 and the bottom of Page 2), please provide both program names and the session details. For example, if you’re going to Rome first and then on to Dublin, you should write “Arcadia in Rome, Session 1 and Arcadia in Dublin, Session 2”.

Q: Do I have to pay a deposit? Two Deposits?

We also ask for a $500 non-refundable deposit to secure your spot on your program. You only need to pay this once to confirm your spot for Session 1 and Session 2. In some cases, your home school might pay this deposit on your behalf. The Fee Information tab in your Arcadia Passport account will let you know if whether or not you need to pay this fee yourself.


Fees & Financial Information

Q: How much does it cost to do two sessions in different locations?

The total cost of your summer study abroad experience is equivalent to the cost a single session in each location, minus an $800 tuition credit. You can find the costs of each session listed in your Arcadia Passport under the Fee Information tab.

Q: Will I have two different bills, one for each session?

No. We’ll put everything onto one bill for you to make things easier. Check out our Study Abroad Payment Information for further information about payment deadlines, options, financial aid arrangements, etc. You can also get specific information about how your home school might be involved in the payment process in the Fee Information tab in your Arcadia Passport. If you have questions, don’t hesitate to contact our Student Financial Services team for help.

Q: If I change my mind and decide I only want to go to one of the two program locations, will I get a refund for the other session?

That depends. Once you’ve sent in your Intent to Enroll Agreement, our staff in the US and overseas start making arrangements for you in both locations - this might include housing, orientation activities, health insurance, etc. Please be sure to read over our Refund & Withdrawal Policies carefully, and note that, if you change your session choices after confirming your intent to enroll, you will be charged any non-recoverable fees paid on your behalf associated with sessions in which you are no longer enrolled.

Q: Can I apply for an Arcadia scholarship? If so, should I just apply for one, or should I apply for two (one for each program location)?

Yes, you can apply for an Arcadia Scholarship. You should only apply for one, but be sure to list both of your program names on the scholarship application. That way, our review committee can take into account the total cost of your programs when deciding your eligibility and your award.


Travel & Visas

Q: There are a couple of days between the end of my first session and the start of my second session. Where should I stay those two nights? Can I use that weekend to do a bit of traveling?

Your Session 1 housing will be available for one extra night at the end of the session. Your Session 2 housing will be available for you to move in on one extra night at the beginning of your session.

This means that, whatever your plans, you'll need to make sure you (and your belongings) have moved out of your Session 1 housing by 10am on Friday, July 6. Your Session 2 housing will be available for you to move in on July 6 after 5pm.

You don't have to use those two nights of housing if you want to travel somewhere else over the weekend, as long as you move out your Session 1 housing by the designated time and arrive at the Session 2 location for the start of your orientation.  If you are in any doubt about how to make your travel plans, please contact your Program Manager for advice.

Q: How do I get from Session 1 to Session 2? Do I have to book my own flight?

Yes, you will need to make your own arrangements for travel between your two session locations. The above question outlines the details of when your housing is available, but you are welcome to travel over the weekend between sessions. Be sure to let us know your plans by completing your Flight Forms in Arcadia Passport (see below).

Q: Now that I am accepted, I see Flight Forms listed on my Arcadia Passport. How should I fill these out?

For your Session 1 Flight Form, please fill in your flight details for your arrival at that location and for your travel from Session 1 to Session 2. For your Session 2 Flight Form, please fill in your flight details for your arrival to the Session 2 location and for your travel home at the end of the summer.

Q: Do I need to get a student visa for my programs? Or two different visas?

That depends on a few factors, including - where you are going and where you are from. For the most part, US citizens are able to travel to our summer Mix & Match program sites without applying for a visa.

There are a couple of exceptions:

  • Arcadia in London: You don’t need to apply for a visa ahead of time, but you will have to show some paperwork to the UK immigration authorities once you get overseas in order to enter on the Short Term Student Route. This is free and very easy - read more about it.
